Your Password Is Probably Wrong (And That’s Okay)

If you’re reading this while staring at a sticky note on your monitor that says something like Spring2024!, we need to have a little chat.

For years, "tech experts" told us the secret to staying safe online was complexity. We were told to take a word, sprinkle in some capital letters, add a few numbers, and finish it off with a symbol that we’d inevitably forget. You ended up with something like Pa$$w0rd123!.

Here’s the problem: that password is actually pretty easy for a computer to guess. But it's nearly impossible for a human to remember.

1. Passphrases: Why Length Beats Complexity

Let’s talk about the math for a second (don't worry, I promised no jargon, so I’ll keep it simple).

Imagine a hacker using a "brute-force" tool. This is essentially a high-powered computer that tries millions of combinations every second to guess your password. When you use a short, complex password like G7!fz2#, that computer can crack it in a matter of minutes, sometimes seconds.

Why? Because it’s short.

Now, imagine you use a passphrase instead. A passphrase is just a long string of random words. Something like:

BlueSkyRunningHigh!

It doesn't have any weird "leetspeak" (like using a zero for an 'O'), but it’s 19 characters long. For a computer to guess that specific combination of words and letters, it could take centuries.

The "Sweet Spot" for Security

We recommend a passphrase that is at least 14 to 16 characters long. Think of four or five random words that mean something to you but aren't a common phrase or a famous quote.

Why passphrases are better for your team:

  • They are easier to remember: You can actually picture "Blue Sky Running High" in your head. You can't "picture" G7!fz2#.
  • They are easier to type: No more hunting for the "percent" sign on your mobile keyboard while you’re in a rush between meetings in Glendale.
  • They reduce "Workarounds": When passwords are too hard, employees write them down or reuse them across ten different websites. That’s a massive security risk. Passphrases solve that.

2. Those "Annoying" Software Updates? They’re Actually Your Best Friend

We’ve all been there. You’re right in the middle of a proposal for a new construction project or an insurance claim, and a little box pops up in the corner: "Updates are available. Restart now?"

Most of us click "Remind me in 4 hours." Then we click it again. And again. Eventually, we just ignore it until the computer forces a restart at the most inconvenient time possible.

But here’s the reality: 80% of successful data breaches happen because of unpatched software.

Think of your software like a physical building. Over time, people find little cracks in the foundation or a window that doesn't lock quite right. Those are "vulnerabilities." When a software company (like Microsoft or Adobe) finds one of these cracks, they send out an update. That update is essentially a repair crew coming to fix the lock and seal the crack.

Our Advice: Just Say Yes

Don't wait. Whenever possible, turn on automatic updates. It might take a few minutes of your time once a week, but it’s a lot better than the weeks of downtime you’d face after a ransomware attack.

3. The 3-2-1 Backup Rule: Your Double Safety Net

Backing up your data is like buying insurance. You hope you never have to use it, but when you do, you want to be 100% sure it’s going to work.

Many business owners we talk to in Northern Arizona tell us, "Oh, I’m fine, I have a backup." But when we dig deeper, they usually have either a little hard drive plugged into their server or they’re using a cloud service.

To be truly safe, you need both. We call this the 3-2-1 Rule:

  • 3 copies of your data: The original, and two backups.
  • 2 different types of storage: For example, one on a local drive and one in the cloud.
  • 1 copy kept off-site: This protects you if something physical happens to your office (like a fire, a flood, or a power surge).

Why Cloud + Local?

Think of it this way:

  • Local Backup: This is your "fast" backup. If you accidentally delete a folder, you can get it back in seconds because the data is right there in the office.
  • Cloud Backup: This is your "disaster" backup. If your office in Prescott Valley gets hit by a major storm and your equipment is damaged, your data is still safe and sound in a secure data center miles away.
